Excel to PDF for month-end close: numbers frozen for controllers
Published
Lock print areas, repeat header rows, and export before formulas drift from live links.
Accounting closes publish trial balances and flux decks that must match file copies emailed to auditors. Converting XLSX to PDF freezes cell values as controllers saw them during sign-off, preventing accidental edits from spreadsheet refresh cycles or stale pivot caches. Always define explicit print areas per worksheet so stray helper columns do not leak into the exported grid.
Repeat rows on multi-page outputs
Controllers scanning page three still need column headers—configure repeating titles in Page Setup before uploading.
Watch rounding modes
If display precision differs from stored precision, PDF should reflect what leadership reviewed (often formatted cells, not raw doubles).
Reconcile totals
Compare visible Excel totals with the exported PDF—bad scaling or print areas can hide footer rows. Refresh pivot tables before converting so the snapshot matches the saved workbook.
